Passkey Management Guide

Overview

This guide explains how to view, add, and remove passkeys from your account after initial setup.

Prerequisites: - Active account - Logged in to the system - At least one passkey registered (or ready to register first one)


Accessing Passkey Management

Step 1: Log In

Log in to your account using password or existing passkey

Step 2: Navigate to Settings

Click your name or profile icon in the header, then select "Settings"

Step 3: Passkey Management Section

Scroll to the "Passkey Management" section


Viewing Your Passkeys

Registered Passkeys List

You'll see all passkeys registered to your account:

Each passkey shows: - 🔑 Passkey Name - The name you gave it - 📅 Registered Date - When it was added - ⏰ Last Used - When you last logged in with it - 🗑️ Remove Button - Option to delete the passkey

Adding a New Passkey

Why Add Multiple Passkeys?

Recommended setup: - Primary device (work computer) - Secondary device (phone) - Backup device (security key)

Benefits: - Access from multiple devices - Redundancy if one device unavailable - Travel convenience - Emergency backup

Step 1: Click "Add Passkey"

In the Passkey Management section, click "Add Passkey" button

Step 2: Enter Passkey Name

Give your new passkey a descriptive name:

Good Names: - iPhone 13 Face ID - Surface Laptop Fingerprint - YubiKey 5 NFC - iPad Touch ID - Home Desktop Windows Hello

Tip: Include device name and authentication method

Step 3: Authenticate with Device

Your browser will prompt you to authenticate:

Options: - Biometric: Fingerprint or face - Security Key: Insert and touch key - Platform: Windows Hello, Touch ID, Face ID

Step 4: Confirmation

Success! Your new passkey has been added.

You'll receive a confirmation email:

A new passkey has been registered for your account:

Passkey Name: iPhone 13 Face ID
Registered: November 30, 2025 at 4:15 PM PST
IP Address: 192.168.1.100

If you did not register this passkey, please contact the Clerk's
Office immediately at (509) 458-3410.

Removing a Passkey

When to Remove

Remove a passkey when: - Device lost or stolen - Device sold or given away - No longer using the device - Upgrading to new device - Security precaution

Step 1: Find the Passkey

In your passkeys list, find the one you want to remove

Step 2: Click "Remove"

Click the "Remove" button next to the passkey

Step 3: Confirm Removal

A confirmation dialog appears:

Step 4: Confirm

Click "Remove Passkey" to confirm

Step 5: Confirmation

Removed! The passkey has been deleted.

You'll receive a notification email:

Subject: Passkey Removed from Your Account

A passkey has been removed from your account:

Passkey Name: MacBook Pro Touch ID
Removed: November 30, 2025 at 4:30 PM PST
IP Address: 192.168.1.100

This passkey can no longer be used to sign in.

If you did not remove this passkey, please contact the Clerk's
Office immediately at (509) 458-3410.

Managing Multiple Devices

Primary Device (Most Used) - Work laptop/desktop - Home computer

Secondary Device (Mobile) - Smartphone - Tablet

Backup Device (Emergency) - Hardware security key - Alternative computer

Device-Specific Tips

Work Computer

Name: "Work Laptop Windows Hello"
Use: Daily access from office
Backup: Password + MFA

Personal Phone

Name: "iPhone 13 Face ID"
Use: Access while traveling
Backup: Work laptop passkey

Security Key

Name: "YubiKey 5C Backup"
Use: Emergency access only
Storage: Secure location

Passkey Naming Best Practices

Good Names

Be Specific: - MacBook Pro 2023 Touch ID - Surface Laptop 5 Fingerprint - iPhone 14 Pro Face ID

Include Auth Method: - Dell XPS Windows Hello Face - YubiKey 5 NFC - Pixel 7 Fingerprint

Indicate Location: - Office Desktop Windows Hello - Home iMac Touch ID - Travel YubiKey

Avoid

Too Generic: - My Phone - Laptop - Work

No Context: - Passkey 1 - Device A - Test


Security Considerations

Lost or Stolen Device

Immediate Actions: 1. ✋ Remove passkey from your account immediately 2. 📞 Contact Clerk's Office if you're locked out 3. 🔒 Change password as additional precaution 4. 📱 Report device loss to IT/Security

Why remove passkey? - Prevents unauthorized access - Even with device lock, extra security - Peace of mind

Good news: - Attacker still needs device unlock (PIN/biometric) - Passkeys can't be extracted from device - Your other passkeys still work

Compromised Account

If you suspect account compromise:

  1. Remove ALL passkeys
  2. Change password immediately
  3. Review audit logs (if available)
  4. Contact Clerk's Office: (509) 458-3410
  5. Re-register passkeys on trusted devices only

Multiple Passkeys for Redundancy

Don't have just one passkey!

Recommended minimum: 2 passkeys - Primary device - Backup (phone or security key)

Why multiple passkeys? - Device failure/loss - Device battery dead - Traveling without primary device - Upgrade/replacement scenarios


Troubleshooting

Can't Add Passkey

Problem: "Add Passkey" fails

Solutions: 1. Browser not supported - Update to latest version 2. No biometric hardware - Use security key instead 3. Biometric disabled - Enable in device settings 4. Already at limit - Remove unused passkeys first (if limit exists)


Can't Remove Passkey

Problem: Remove button doesn't work

Solutions: 1. Last passkey - System may require keeping at least one (or password backup) 2. Session expired - Log in again 3. Permission issue - Ensure you're logged in as account owner


Passkey Not Working After Addition

Problem: Just added passkey, but can't log in with it

Solutions: 1. Wait a moment - Can take 30 seconds to propagate 2. Refresh page - Clear cache 3. Try password login - Verify account status 4. Re-register - Remove and add again


"Last Used" Shows Wrong Time

Problem: Passkey shows incorrect last used time

Explanation: - Time zones may differ - Display may show server time - Normal behavior, not a problem


Passkey Limits

Maximum Passkeys

Current limit: 10 passkeys per account (configurable)

If you need more: - Contact Clerk's Office - May be increased for special cases - Consider removing unused passkeys first

Rate Limiting

Adding passkeys: - Maximum 5 per hour - Prevents abuse - Contact Clerk's Office if limit issue


Best Practices Summary

Do

Register multiple passkeys - Don't rely on just one ✅ Use descriptive names - Easy to identify later ✅ Remove old passkeys - When device no longer used ✅ Keep backup method - Remember password or have security key ✅ Review regularly - Check passkey list monthly

Don't

Don't remove all passkeys - Unless you know your password ❌ Don't share devices - That have your passkeys ❌ Don't forget to remove - When selling/giving away device ❌ Don't use insecure devices - For passkey registration


Email Notifications

You'll receive emails for:

Passkey Added

Subject: New Passkey Registered for Your Account
When: Immediately after adding passkey
Action: Verify it was you

Passkey Removed

Subject: Passkey Removed from Your Account
When: Immediately after removing passkey
Action: Verify it was you

Advanced: Cross-Platform Passkeys

Some platforms support synced passkeys:

iCloud Keychain (Apple)

  • Syncs across iPhone, iPad, Mac
  • All devices use same passkey
  • Remove from one removes from all

Google Password Manager

  • Syncs across Android devices
  • Chrome browser on desktop
  • Unified passkey management

Windows Hello

  • Local to each Windows device
  • Does NOT sync across devices
  • Need separate passkey per PC

Tip: Name synced passkeys appropriately: - iCloud Keychain (All Apple Devices) - Google Account (All Android)


Passkey Lifecycle

New Device Setup

  1. Get new device
  2. Log in with password (or existing passkey from another device)
  3. Go to Settings → Passkey Management
  4. Add passkey for new device
  5. Test passkey - Log out and log in with it
  6. Done - Can now use new device

Device Upgrade

Before disposing of old device: 1. Remove passkey from account 2. Factory reset device 3. Setup passkey on new device

Device Retirement

Device no longer used: 1. Remove passkey from account 2. Factory reset or wipe device 3. Dispose securely
