Email Notification Templates¶
Overview¶
The FISMA Document Upload System sends automated email notifications for various account and security events. This document provides examples of all email notifications users will receive.
All emails are sent from: noreply@waed.uscourts.gov
Email Characteristics: - Plain text format for maximum compatibility - Clear subject lines for easy identification - Security information included - Contact information for support - Do not reply warning (automated system)
Registration Emails¶

Email Formatting Guidelines¶
Visual Elements¶
All emails include: 1. Header: Court name and system name with visual separator 2. Body: Clear, concise information in plain text 3. Security Notice: When appropriate 4. Contact Information: Clerk's office phone and email 5. Footer: Hours and automated message notice
Accessibility¶
- Plain text format (accessible to all email clients)
- Clear subject lines (screen reader friendly)
- Logical information hierarchy
- No reliance on colors or formatting
Security Indicators¶
Each email includes: - Timestamp of action - IP address (when security-relevant) - Specific action taken - Instructions if unauthorized
Email Troubleshooting¶
Not Receiving Emails?¶
Check these locations:
1. Spam/Junk folder - Court emails may be filtered
2. Promotions tab (Gmail) - May be miscategorized
3. Blocked senders - Ensure @waed.uscourts.gov not blocked
Solutions:
1. Add noreply@waed.uscourts.gov to contacts
2. Whitelist @waed.uscourts.gov domain
3. Check with IT if organization blocks automated emails
4. Contact Clerk's Office to verify email on file
Email Delays?¶
Normal delivery time: 1-5 minutes
If delayed beyond 10 minutes: 1. Check spam folder 2. Verify email address is correct in your account 3. Check organization email filtering/firewall 4. Contact IT support to whitelist court domain

✅ Review security alerts - Act on suspicious activity promptly
✅ Don't share links - Registration and reset links are unique
✅ Verify sender - Always @waed.uscourts.gov
✅ Report phishing - Forward suspicious emails to IT
