Email Notifications¶
The FISMA Document Upload System sends automated email notifications for all security-sensitive actions. All emails are sent from the Court's secure notification system.
Overview¶
Email Security¶
All system emails:
- Are sent from
noreply@waed.uscourts.gov - Contain unique security tokens (where applicable)
- Include timestamp and reference information
- Are logged in the audit system
- Are sent only to your CM/ECF registered email address
⚠️ Important: Never share links or codes from system emails with anyone.
Types of Email Notifications¶
1. Account Registration¶
When Sent: When you request to create a new account
Subject: FISMA Document Upload - Complete Your Registration
Purpose: Verify your email address and complete account setup
Contains: - Unique registration verification link - Link expiration time (30 minutes) - Instructions to complete registration
Action Required: Click the verification link within 30 minutes

2. Registration Complete¶
When Sent: After you successfully verify your email and complete registration
Subject: FISMA Document Upload - Registration Complete
Purpose: Confirm your account is active and ready to use
Contains: - Confirmation of successful registration - Link to login page - Link to passkey setup (optional) - Security best practices
Action Required: None (informational)

3. Multi-Factor Authentication (MFA) Code¶
When Sent: Every time you log in with your password
Subject: FISMA Document Upload - Verification Code
Purpose: Provide one-time verification code for MFA
Contains: - 6-digit verification code - Code expiration time (5 minutes) - Security warning about unauthorized access
Action Required: Enter the 6-digit code on the verification screen within 5 minutes
Important: - Code expires after 5 minutes - Each code can only be used once - Request a new code if expired

4. Passkey Registered¶
When Sent: When you successfully add a new passkey to your account
Subject: FISMA Document Upload - Passkey Registered
Purpose: Confirm passkey enrollment for security awareness
Contains: - Confirmation of passkey registration - Device/authenticator name - Registration timestamp - Instructions if you didn't authorize this
Action Required: None (but contact support immediately if unauthorized)

5. Passkey Removed¶
When Sent: When you remove a passkey from your account
Subject: FISMA Document Upload - Passkey Removed
Purpose: Notify you of passkey removal for security monitoring
Contains: - Confirmation of passkey removal - Device/authenticator name that was removed - Removal timestamp - Instructions if you didn't authorize this
Action Required: None (but contact support immediately if unauthorized)

6. Password Reset Request¶
When Sent: When you request to reset your password
Subject: FISMA Document Upload - Password Reset Request
Purpose: Provide secure link to reset your password
Contains: - Unique password reset link - Link expiration time (1 hour) - Security notice about ignoring if you didn't request reset
Action Required: Click the reset link within 1 hour if you requested the reset; ignore if you didn't
Security Note: If you didn't request a password reset, contact the Clerk's Office immediately

7. Password Reset Complete¶
When Sent: After you successfully reset your password
Subject: FISMA Document Upload - Password Reset Successful
Purpose: Confirm password change completed
Contains: - Confirmation of password reset - Timestamp of change - Login link - Security notice if unauthorized
Action Required: None (but contact support immediately if unauthorized)

8. Document Upload Confirmation¶
When Sent: Immediately after successful document upload (1-2 minutes)
Subject: FISMA Document Upload - Confirmation Receipt
Purpose: Confirm receipt and encryption of uploaded document
Contains: - Upload Reference ID - Case number - Judge assigned - File name and size - Upload timestamp - Processing status
Action Required: Save for your records
Important: This is NOT the CM/ECF filing receipt. The Clerk's Office will send separate filing confirmation.

9. Security Alert (Account Lockout)¶
When Sent: After multiple failed login attempts (account locked)
Subject: FISMA Document Upload - Security Alert: Account Locked
Purpose: Notify you of suspicious activity and account lockout
Contains: - Account lockout notification - Reason for lockout (failed login attempts) - Timestamp of lockout - Automatic unlock time (1 hour) - Instructions to contact support if unauthorized activity
Action Required: Wait 1 hour for automatic unlock, or contact Clerk's Office to unlock immediately
Security Note: If you didn't attempt to log in, contact the Clerk's Office immediately - someone may be attempting unauthorized access.

Email Delivery¶
Expected Delivery Time¶
Most emails arrive within:
- MFA Codes: 30-60 seconds
- Registration Links: 1-2 minutes
- Password Reset Links: 1-2 minutes
- Upload Confirmations: 1-2 minutes
- Security Notifications: Immediate to 2 minutes
If You Don't Receive an Email¶
- Wait 5 minutes - Delays can occur
- Check spam/junk folder - System emails may be filtered
- Verify email address - Must be your CM/ECF registered email
- Check email quotas - Ensure mailbox not full
- Request resend - Use "Resend" button where available
- Contact support - If issues persist after 10 minutes

Warning Signs of Phishing¶
⚠️ Suspicious sender: Email from any domain other than wawd.uscourts.gov ⚠️ Misspellings: Poor grammar or spelling errors ⚠️ Wrong links: Links to domains other than waed.uscourts.gov ⚠️ Urgent threats: Threatening immediate account closure ⚠️ Requests password: Asking for your password via email
If you receive a suspicious email claiming to be from the system: 1. Do NOT click any links 2. Do NOT provide any information 3. Forward to: ecfinfo@waed.uscourts.gov 4. Delete the suspicious email
Managing Email Notifications¶
Email Address¶
Your email address is: - Your CM/ECF registered email - Cannot be changed within the Document Upload System - Synced with the Court's attorney registration system
To update your email: Contact the Clerk's Office to update your CM/ECF registration
Email Filtering¶
To ensure you receive all system emails:
- Add to safe senders: noreply@waed.uscourts.gov
- Whitelist domain: wawd.uscourts.gov
- Check spam settings: Ensure court emails not blocked
- Create email rule: Move system emails to specific folder
Audit Logging¶
All email notifications are logged in the system audit trail, including:
- Email type sent
- Recipient email address
- Timestamp of email send
- Delivery status
- Any delivery errors
This audit trail helps the Court: - Track all security-sensitive notifications - Investigate security incidents - Verify notification delivery - Comply with FISMA audit requirements

Privacy & Data Protection¶
Email Content Security¶
- Emails never contain sensitive case information
- Links expire after defined time periods
- All links are single-use (where applicable)
- Email delivery is logged but content is not stored
Email Retention¶
The Court's email retention policy: - System emails are transactional notifications - Retained according to court records policy - Email delivery logs kept for audit purposes - You control retention in your own email system
